PRIMARY RESPONSIBILITIES

  • Responsible for full cycle attorney recruiting (partner, counsel and associate) including sourcing, screening, interviewing, preparing offers and assisting with onboarding for the New York City and Washington D.C. offices.

  • Work with DWT leadership, including Practice Group Leaders and Office Partners-in-Charge to identify hiring needs and advance recruiting objectives in a strategic manner.

  • Frequently collaborate with the Diversity Outreach Recruitment Manager to develop methods to attract diverse attorney candidates and advance the firm’s diversity recruiting efforts.

  • Partner closely with key colleagues, including Professional Development, Practice Management and Office Administrators, to exercise timely sharing of information and recruiting best practices. 

  • Advise and manage open attorney position announcements.

  • Develop and drive innovative sourcing methods to build proactive talent pipelines.

  • Proactively create a sourcing plan for open positions, including the identification and management of external sources for those open positions.  Strategically distribute open position announcements utilizing external sources.

  • Develop, identify, and track internal and external referrals for open positions using a variety of sourcing tools.

  • Consistently track key metrics and generate relevant reports.  Report competitive market intelligence on hiring statistics.  Develop and analyze reports and projections regarding market trends in diversity, legal recruiting, and retention.

  • Assist with annual budget process.

  • Perform other related projects as necessary including backup to other recruiting team members.

    THE SUCCESSFUL CANDIDATE

  • Bachelor’s degree required.  JD preferred. 

  • 4+ years’ work experience as a legal recruiter working directly in the New York or Washington, D.C. metro areas and legal markets required, preferably in a law firm or other professional services environment. 

  • Demonstrated knowledge of current law firm industry trends in those markets required.  Strong relationships and connections in those legal markets required. 

  • Proactive with the ability to think strategically and execute against the agreed recruitment strategy.

  • Demonstrated proficiency with MS Office Products required, i.e. Microsoft Word, PowerPoint, Outlook and Excel.  Working knowledge of recruiting software, preferably viRecruit.

  • Public relations skills and ability to represent the firm in a professional manner.

  • Requires excellent communication and interpersonal skills, including the ability to maintain effective working relationships and communicate verbally and in writing in a professional, courteous manner with lawyers, firm members, professional staff and other business contacts.

  • Experience synthesizing and analyzing data.

SUMMARY:  Provides coverage as needed in concierge, mailroom and copy center areas; including answering phones, meeting set-up services, deliveries and copying needs.  This position requires an ability to work independently as well as in a team environment with attorneys and other staff members.
 
WORK SCHEDULE
This position is from 10:00 am – 6:30pm, Monday through Friday.
 
RESPONSIBILITIES
Provides coverage in areas of reception, hospitality and copy center:
  • Clean and restocking break stations, conference rooms, lunchrooms and attorney lounge.
  • Conference and event space set-up and clean-up; including loading dishwashers and maintaining break areas.
  • Maintain inventory, order and stock supplies for lunchrooms and events.
  • Order food/beverages as needed for meetings and events.
  • Greeting and directing visitors to the firm. Answering a multiple line telephone system. 
  • Receive hand delivered client documents and send out the appropriate document delivery notifications to attorneys and staff.
  • Assist with routing of client deliveries to the appropriate attorneys and staff.
  • Maintain on-line calendar for multiple conference rooms and using discretion when booking and prioritizing or coordinating room changes.
  • Assist staff and attorneys with reserving conference/meeting rooms and visitor offices.
  • Assist visitors with all reasonable needs they may have such as copying, faxing, scanning, transportation, reservations, etc.
  • Triage requests from attorneys, staff and clients to accommodate needs.  Coordinate priorities with Concierge team.
  • Maintain a clean and organized appearance of the reception area; organizing current periodicals on the tables, controlling lighting, etc.
QUALIFICATIONS
  • Ability to read and write English.

  • Strong time management skills.
  • Experience with Microsoft Word and Outlook. Familiarity with OneNote is a plus.

RESPONSIBILITIES

  • Type, proofread, format and edit correspondence, pleadings, memoranda, agreements and other legal documents under time-sensitive deadlines.  Some pleading drafting.  Conversion of both paper and electronic files to pdf format.
  • File and serve pleadings with the court and regulatory commissions and on opposing and associated counsel, at state and federal level and in many different venues.
  • Open new client and new matter files using Metastorm software.

QUALIFICATIONS

  • 3+ years experience as a legal secretary.
  • Strong skills in word processing and computer use:  ability to type 85 wpm with high accuracy; proficiency in MS Office Products (Word, WordDocx, Outlook, Excel) and Adobe Acrobat/Nitro/Pro required;  knowledge of PowerPoint, time keeping programs, NetDocs preferred; ability to perform internet research.
  • High degree of attention to detail and sensitivity to confidential and sensitive materials required.
  • High level of energy required.

  • Instructing and working with foreign counsel on clearance, trademark filings, office actions, renewals and other prosecution and conflict matters.

  • Serve as primary liaison between practice group chairs/other practice leaders and staff departments to execute on practice group operating needs while reducing the amount of administrative time spent by practice leaders.
  • Negotiate sponsorships and manage marketing budget.
  • Assist senior practice manager and practice manager in processes that involve the collection of client feedback and execution on responses/actions to be taken, based on client feedback.
  • Provide general support to practice managers and attorneys in practice group operations. 
  • Work with the Marcom group to create, update and organize marketing collateral and related records as well as practice group’s blogs and social media platforms.
  • Assist with additional projects as necessary.
  • May require travel to other offices, as necessary.
QUALIFICATIONS
  • 4+ years of professional services marketing is desired, or equivalent internship and education.  Law firm marketing or media sector experience is a plus.
  • College degree and demonstrated academic excellence.
  • Ability to take ownership of projects and handle multiple projects simultaneously is required.
  • Demonstrated writing ability and excellent grammar, spelling and proofreading skills are required.
  • Excellent communication and interpersonal skills, including the ability to maintain effective working relationships and communicate verbally and in writing in a professional, courteous manner with clients, firm members, and other business contacts are required.
  • Ability to interact with lawyers and staff at all levels is required.
  • Demonstrated proficiency with MS Office Products required, i.e. Microsoft Word, PowerPoint, Outlook and Excel; CRM technology a plus.
  • Ability to pay close attention to detail and be highly organized and accurate is required.
  • Some experience working on marketing programs and events is a plus.
  • General familiarity with the practice of law is a plus.

SUMMARY: As a member of the practice management team, the senior practice management specialist will provide guidance, advice, and support the senior practice manager and assigned practice group on activities that enhance the profitable, effective operation of the practice group.
 
RESPONSIBILITIES
  • Provide guidance and advice to the practice group regarding business development opportunities, including identifying and conducting research in support of new business opportunities.
  • Draft and prepare communications related to winning new work and enhancing the practice group’s profile and reputation.
  • Lead the collection, storing, maintenance and distribution of information on lawyers’ experience and develop an effective system that minimizes the administrative burden on lawyers.
