Legal Secretary

New York City
This is an exciting opportunity to work for one of the top law firms in the U.S.  Davis Wright Tremaine LLP is looking for an experienced Legal Secretary to join our team in New York. 

This position is responsible for providing legal secretarial/administrative support to our new team of Litigation Media Partners. Focus on client billing, typing, preparing legal documents, file maintenance, client contact, coordinating schedules, making travel arrangements and providing secretarial and administrative assistance as needed.

RESPONSIBILITIES
  • Draft, type, proofread and edit correspondence and documents (e.g., court forms, pleadings, memoranda, agreements and other legal documents) under time sensitive deadlines.
  • Enter attorney time, process and review monthly bills.  High focus on client billing including primary liaison for attorney with the Accounting Department as it relates to client bills.
  • Schedule appointments and maintain calendars; anticipate conflicts and proactively manage schedule changes.  Make travel arrangements and set up conference calls.
  • Maintain correspondence and other legal documents, both paper form and in electronic format (through NetDocs document management system).
  • Take initiative, with attorneys’ permission, to review and save e-mail, delegate to other parties or escalate to attorney for action as appropriate.
  • Respond to attorney/clients’ needs with a sense of urgency, ensuring resolution with appropriate follow-up, (e.g., via telephone, e-mail and in person).
  • Work with attorneys to prioritize, organize and relieve them of administrative tasks.
  • Demonstrate expertise in department-specific topics, procedures and software, (e.g., pacer, e-filing procedures).
  • Make arrangements for messenger, postal, fax, or courier service as needed; provide assistance to other attorneys and staff on other projects as needed.
  • Maintain regular and consistent attendance and punctuality. Adhere to schedule by being timely on breaks, lunches and meetings.
QUALIFICATIONS
  •  5+ years’ experience as a legal secretary or executive assistant required; familiarity with law firm billing processes is a plus.
  • Demonstrated strong word processing and computer skills; solid working knowledge of MS Word, MS Excel and MS Outlook required, experience with all MS Office 2010 products preferred.  Proofreading, NetDocs and PowerPoint skills desired. 
  • Demonstrated ability to type 50 wpm on word processing equipment with a high degree of accuracy.
  • Exceptional organizational skills required; ability to multi-task, work under pressure and meet conflicting deadlines.
  • Demonstrate the ability to communicate with finesse, use tact, diplomacy and discretion with firm contacts and clients.

Advocacy Paralegal Manager--Litigation, Employment Services, Energy & Environmental

This position is responsible for supervising, coaching and otherwise managing the paralegal teams in collaboration with practice group Paralegal-Attorney Liaisons.

RESPONSIBILITIES
  •  Manage the day-to-day operations for the paralegal team in seven offices, including overseeing workflow, problem-solving and coaching

QUALIFICATIONS
  •  10+ years experience performing paralegal work. Solid understanding of the nature of litigation and other advocacy related practices
  • 2+ years supervisory experience 
  • Experience as a manager and coach of paraprofessionals
  • Ability to partner with lawyers and paralegals to problem solve, remove obstacles, build teams and create best practices
  • A deep understanding of the role and value of a skilled paralegal
  • Ability to work collaboratively with the Paralegal-Attorney Liaison to develop and maintain a high quality paralegal team

Billing Manager - California

Los Angeles
This is an exciting opportunity to work for one of the top law firms in the U.S.  Davis Wright Tremaine is looking for an experienced Billing Manager to join our team in our LA office.  

This position supervises Billing Specialist(s)/Billing Assistant(s) ensuring that they are meeting the needs and goals of the firm by producing timely, high quality work product and customer service.  The Billing Manager – California also serves as an expert regarding the billing applications, advises on accounting policies and procedures, and works with the Director, Client Accounting & Billing and Billing Managers in others offices on projects and initiatives.

RESPONSIBILITIES
  •  Provide day to day supervision for the Billing Specialist(s)/Billing Assistants(s), including managing staffing levels, coverage and scheduling.
  • Conduct annual performance reviews, determine compensation, provide coaching, hire staff and handle any employee relations issues.
  • Monitor and ensure that the billing work product is timely, accurate and meets the needs of our clients and attorneys; provide periodic reporting regarding the productivity of the California billing team.
  • Act as a knowledgeable resource for the billing team, the Accounting department, and internal contacts, regarding billing applications, policies and procedures.
  • Collaborate with the Director, Client Accounting & Billing and Billing Managers in others offices in establishing, documenting and maintaining billing department policies and procedures to enhance efficiency; identify and implement process improvements to increase efficiency and accuracy.
  • Responsible for all aspects of client billing support. Tasks could include rate reviews; delinquent time; client/matter set-up and maintenance; invoice proofing; reporting; notifications and alerts; e-billing and invoice delivery and reporting.
  • Report and seek approvals for holds, write-downs, write-offs, and other transactional adjustments.
  • Review client engagements and guidelines for billing related special instructions and agreements.
  • Perform special projects and research as requested including past/present balances, unbilled/billed fee statuses, bill revisions and production.
  • Research and respond to internal and external client inquiries by telephone and email, conferring with lawyers regarding bill content, concerns, and requests when appropriate.
  • Collaborate with lawyers and legal staff regarding special billing arrangements, billing system capabilities and billing plans.
  • Participate in the on-boarding process for new lawyers including on-boarding orientations. 
  • Perform special technical projects as requested by the Director, Client Accounting & Billing or Regional Office Administrator – California.  
QUALIFICATIONS
  •  7+ years accounting experience with an emphasis on legal billing and a demonstrated record of increasing responsibilities, and 5+ years supervisory experience with a staff, required. 
  • College degree in finance or accounting strongly preferred.
  • Demonstrated understanding and proficiency with Elite Enterprise Billing and Reporting Module or similar comprehensive or enterprise-level accounting software experience, required. 
  • Demonstrated ability to perform advanced spreadsheet functions in Excel, required.
  • Advanced knowledge of accounting policies, procedures and applications.
  • Experience in a law-firm or professional services organization, supporting a multi-office environment, strongly preferred.
  • Ability to establish effective working relationships throughout operational groups.
  • Demonstrated supervisory ability to effectively train, apply good judgment and provide direction to team of employees.
  • Strong customer service, problem solving and communication skills, both verbal and written, with all levels of a professional services organization, including interpersonal skills, required.

Collections Coordinator

Seattle
This is an exciting opportunity to work for one of the top law firms in the U.S.  Davis Wright Tremaine is looking for a detail-oriented Collections Coordinator to join our team in Seattle.  

This position is responsible for monitoring and collecting accounts receivable, working with attorneys to achieve budget requirements, and independently managing their assigned client accounts. Applicant will work with internal accounting teams, attorneys, secretaries, and firm clients to resolve outstanding invoice issues. The ideal candidate will take initiative to review and resolve client accounts before they become uncollectible.

RESPONSIBILITIES
  •  Monitor and collect accounts receivable; exhibit good judgment in escalating unresolved issues to management.
  • Use firm’s collections software to manage client accounts and keep an accurate record of communications, contacts, payments, deadlines, attorney preferences, and other pertinent information.
  • Utilize third-party electronic billing sites and insurance company sites to research reduced and rejected invoices; assist attorneys with filing appeals and provide recommendations for resolution.
  • Identify and submit write off requests of pre-negotiated discounts for e-billing, volume and prompt pay discounts.
  • Create and maintain Excel spreadsheets of invoice reduction information and present data to attorneys in a clear, concise format.
  • Assist in the development and implementation of standard processes related to insurance collections and management.
  • Develop and independently manage a process to meet multiple overlapping deadlines.
  • Provide periodic updates to practice group financial partners on outstanding client accounts; provide reports to attorneys, secretaries, and administrators as needed.
  • Communicate with clients in accordance with firm collection protocols and provide excellent customer service throughout the collection process.
  • Familiarity with client guidelines and payment requirements to ensure collection efforts are within the agreed scope.
  • Generate and distribute template reminder statements; use verbal and written communication to send custom payment inquiries. 
QUALIFICATIONS
  • 2+ years’ collections with strong customer service experience required, preferably in a legal environment
  • Previous experience in a professional services organization, supporting a multi-office environment, preferred
  • Demonstrated high level of ability to use MS Excel and Word required 
  • Knowledge of ARCS 2G collections software preferred
  • Ability to handle heavy workload with time constraints and deadlines
  • Must be a team player and maintain a positive and professional attitude
  • Strong verbal and written communication, as well as diplomacy and negotiation skills; ability to work with clients and attorneys in stressful and high-pressure situations

  • Assists clients in preparing due diligence request lists and responding to due diligence requests in financing and M&A transactions; proficient in setting up and using different technology platforms (i.e. virtual data rooms) and other methods for responding to such requests; maintains best practices for organizing, tracking and communicating due diligence responses.  
  • Prepares and maintains closing checklists for private placement financings and M&A transactions. 
  • Acts as primary interface with filing services for any corporate filings required to complete a financing or M&A transaction; keeps all parties aware of filing deadlines.
  • Assists in closing of private placements and M&A transactions, including drafting ancillary documents, preparing signature pages, updating investor schedules, tracking receipt of signatures, and compiling fully executed copies of documents and agreements.
  • Prepares stock certificates, Form D’s and other securities filings required in connection with the financing or M&A transaction.
  • Prepares closing volumes; updates stock ledgers and capitalization tables as needed.
QUALIFICATIONS
Education and Experience
  • A strong background in providing corporate support to emerging companies and venture financing experience is required; background in M&A transactions very helpful.
  • Bachelor’s degree and completion of paralegal program of study, or clear demonstration of equivalent knowledge and skill.
Skills and Abilities
  • Advanced proficiency in the use of Microsoft Office applications (Word, Excel, and Outlook) for the creation and editing of documents, Proficiency in cap table management software, including Carta and Capshare, is not required, but candidate will be expected to become proficient in both quickly.
  • Proficiency in the use of electronic signature applications (e.g. –DocuSign) and document retention databases (e.g. – Google Docs, Dropbox and other proprietary virtual data rooms).  
  • Ability to quickly adapt to new technologies and methods of client communication as needed.

Systems Librarian - Seattle or Portland

The Systems Librarian is responsible for the coordination of the complex technical services functions of the Library & Research Services department to provide legal professionals and staff with seamless access to Library research tools, subscription content, current awareness and other legal and business intelligence. Primary duties include management of the integrated library system and electronic resources management system, access management, acquisitions, cataloging, technical support, product evaluation, vendor relations, and usage analysis and reporting.

RESPONSIBILITIES
  •  Manage all aspects of Library’s integrated library system and electronic resource management system, including user authentication, user experience, circulation, acquisitions, cataloging and reporting.
  • Perform complex cataloging and bibliographic problem-solving, including batch loading of catalog records.
  • Provide technical support for all Library technology assets. Provide cross-functional support to reference librarians where end-user technical issues arise.
  • Contribute to intradepartmental efforts to identify and evaluate new, innovative legal research solutions. Coordinate trials, elicit feedback, and participate in training efforts.
  • Provide support on other Library and firm wide research, innovation, and knowledge management initiatives.
  • Maintain professional and technical knowledge by benchmarking state-of-the-industry practices and participating in professional organizations. Closely monitor trends in legal research technology to inform Library strategic planning.
  • Perform any and all other duties as necessary to support all Library functions and objectives.
  • Occasional travel to other DWT offices required.
QUALIFICATIONS
  •  2+ years law library experience; Masters in Library and Information Science strongly preferred.
  • Exceptional collaborative skills. Ability to work closely with teammates located in multiple offices and different time zones.
  • Excellent customer service skills. Ability to communicate sophisticated concepts to end-users of various levels of technological expertise.
  • Knowledge of cataloging principles, as well as knowledge of integrated cataloging systems and related technologies.
  • Attention to detail, analytical skills and organizational know-how.
  • Ability to thrive in a fast-paced environment working on multiple projects simultaneously.
  • High degree of sensitivity to client confidentiality.

Transactions Paralegal Manager - West Coast

This position is responsible for supervising, coaching and otherwise managing the paralegal teams in collaboration with practice group Paralegal-Attorney Liaisons.

RESPONSIBILITIES
  •  Manage the day-to-day operations for the paralegal team in seven offices, including overseeing workflow, problem solving and coaching
  • Partner with Paralegal-Attorney Liaison to assess skills of current and future paralegals, determine staffing needs and establish paralegal team priorities/goals
  • Collaborate with Paralegal Attorney Liaison and paralegals to develop best practices
  • Manage time and attendance, scheduling, semi-annual check-ins, coaching, transitions, workflow, expense reimbursements, recruiting for the paralegal team
  • Liaise between paralegals and firm administrative departments
  • Lead process improvement and project management efforts
  • Develop agendas for paralegal team meetings
  • In collaboration with PG and iSt, facilitate processes for evaluating and acquiring new technology tools to support paralegal team
  • Evaluate training needs and facilitate training and development opportunities for paralegal team
QUALIFICATIONS
  •  10+ years experience performing paralegal work. Solid understanding of the nature of transactional and other transactions related practices
  • 2+ years supervisory experience 
  • Experience as a manager and coach of paraprofessionals
  • Ability to partner with lawyers and paralegals to problem solve, remove obstacles, build teams and create best practices
  • A deep understanding of the role and value of a skilled paralegal
  • Ability to work collaboratively with the Paralegal-Attorney Liaison to develop and maintain a high quality paralegal team
  • Demonstrated strong proficiency in MS Office Products (Outlook, Word, Excel) required
  • Demonstrated high degree of attention to detail 
  • Willingness to adapt to and learn new technology, software programs, and upgrades
  • Willingness to travel to each office approximately two times per year
